Job description from the source

Position Overview RSW Law Firm seeks an experienced, full-time Litigation Paralegal who can keep cases moving, prepare accurate work, and confidently support two attorneys whose practice spans multiple areas of law. This role requires more than completing individual assignments. We are looking for someone who can review a file, recognize upcoming procedural needs, track outstanding items, and take appropriate next steps without repeated prompting. You will work under attorney supervision while taking ownership of your assigned litigation responsibilities. Working Across Practice Areas The firm handles civil and business disputes, real estate and ranch or land litigation, personal injury, construction defects, probate and estate litigation, and hunting and fishing defense. Its broader practice also includes ranch and land transactions, agricultural issues, water and mineral rights, and business formation. The paralegal will apply core litigation skills across assigned matters while developing familiarity with each practice area. You do not need prior experience in every practice area. You do need a strong civil litigation foundation and the confidence to move between different case types while keeping their deadlines, records, and procedural requirements distinct. Bring resourcefulness, focused questions, and sound judgment about when attorney guidance is needed. Specialized subject knowledge can develop through attorney guidance, established templates, and case-specific procedures. Key Responsibilities Case Management and Docket Control Review scheduling orders and accurately calendar all deadlines, hearings, and court dates. Track the preparation and supporting tasks needed to meet upcoming deadlines. Monitor assigned files for outstanding documents, responses, and procedural steps. Keep the attorney informed of case status, obstacles, and matters requiring a decision. Maintain organized electronic case files so documents and current information are readily accessible. Litigation Document Preparation and Filing Draft routine motions, including motions to continue and motions for extensions of time, for attorney review. Prepare requests for hearing, notices of non-availability, notices of completion of briefing, summonses, deposition notices, and certificates of service. Review complaints, motions, and other litigation documents for spelling, grammar, formatting, completeness, and consistency. Verify captions, case numbers, party names, dates, exhibits, attachments, and service information before filing. File attorney-approved documents through applicable court filing systems, confirm submission, and retain filing confirmations. Provide filed pleadings and related correspondence to opposing counsel and other appropriate parties as directed. Discovery and Case Records Gather, organize, and track discovery materials and supporting documents appropriate to each matter. Obtain missing information and documents from clients and follow up until outstanding requests are resolved. Request case-specific records, including medical and billing records when applicable. Prepare HIPAA authorizations when needed and follow up with records custodians regarding missing or incomplete responses. Coordinate with private investigators under attorney direction when additional case information is required. Organize collected materials into usable document sets, case chronologies, and exhibit references so the attorney can review and use them efficiently. Service of Process and Litigation Coordination Coordinate with process servers regarding quotes, service timelines, and outstanding service attempts. Obtain and organize affidavits or other proof of service. Assist with business-entity service procedures and related state-portal submissions as directed by the attorney. Coordinate deposition, witness, and discovery scheduling. Communicate professionally with clients, opposing counsel, witnesses, investigators, and records custodians about assigned case tasks. Hearing and Trial Preparation Assemble motion, hearing, and trial binders with clearly labeled exhibits and supporting materials. Organize documents so the attorney can locate necessary information quickly. Track outstanding preparation items and flag missing materials early. Ensure assigned materials are complete and ready for attorney review before scheduled proceedings. Required Qualifications and Skills Three to five years of civil litigation paralegal experience, including responsibility for routine drafting, filing and service, discovery coordination, docket control, and hearing or trial preparation. A working understanding of how litigation progresses and the ability to recognize routine next steps. Strong writing and proofreading skills, including the ability to identify missing or inconsistent information. Experience using electronic court filing systems, word processing, PDF tools, and electronic calendars. Ability to manage competing deadlines across different matters without losing track of details. Comfort learning unfamiliar case types and adapting to different procedural and document requirements. Reliable follow-through and the initiative to advance assigned work without repeated reminders. Sound judgment about when to act within established instructions and when attorney review or direction is necessary. Professional communication, discretion, and careful handling of confidential information. Working proficiency with medical and billing record requests, HIPAA authorizations, and follow-up with records custodians. Preferred Experience Real estate or property litigation experience, including familiarity with deeds, contracts, title materials, surveys, easements, and property records. Experience with New Mexico court procedures and electronic filing systems. Experience supporting more than one practice area; exposure to construction disputes, probate litigation, personal injury, or criminal or administrative proceedings is a plus. Practice Specific Learning A strong litigation paralegal can build knowledge of the firm’s specialized matters along the way. Learning priorities may include ranch and agricultural terminology; water and mineral records; construction project and expert materials; probate litigation workflows; and hunting or fishing defense procedures. Criminal and administrative matters require their own procedures and deadline checks rather than assumptions drawn from civil cases. The candidate must bring dependable litigation skills at entry. Firm software, templates, attorney preferences, and unfamiliar subject matter can be learned with appropriate guidance and review. Prior expertise in every listed area is not required. What Success Looks Like Deadlines are accurately tracked, documents reach the attorney carefully checked, and discovery and service requests receive consistent follow-up. Hearing and trial materials are organized and ready when needed. The attorney can rely on you for a clear picture of what is complete, what remains outstanding, and what needs attention. As you become familiar with the firm’s practice areas, you apply that knowledge with increasing confidence and independence. Pay: $66,560.00 - $79,040.00 per year Work Location: Hybrid remote in Santa Fe, NM 87501
